Executive Assistant

Roles and Responsibilities:

  • Manage the Managing Director’s calendar, ensuring efficient scheduling and time management.
  • Prepare and distribute agendas and minutes for Executive meetings, and follow up to ensure timely completion of action items.
  • Assist in the creation of presentation materials for internal and external stakeholders.
  • Handle expense claims for the Managing Director accurately and promptly.
  • Coordinate with the NSW State Manager to organize the Head Office and NSW Sales Team Christmas party.
  • Manage relationships and coordination with Camp Quality.
  • Schedule and coordinate local and CSI meetings as needed.
  • Assist with visa and passport applications, and arrangements for international visitors.
  • Compile mid-month sales forecasts (every 15th of the month) by state.
  • Consolidate and prepare State Managers' reports for review by the Managing Director.
  • Oversee company-wide travel arrangements, including flights, accommodations, and rental cars.
  • Collaborate with State Coordinators to develop and support fundraising programs.

Required Experience:

  • At least 3 years of experience as an Executive Assistant or in a similar administrative support role.
  • Proven experience in handling travel management, event planning, and executive-level reporting.

Minimum Qualifications:

  • Bachelor’s degree in Business Administration, Office Management, or related field.
  • Excellent verbal and written communication skills in English.

A Successful Candidate Must Have:

  • Strong organizational and time management skills, with keen attention to detail.
  • Ability to handle multiple priorities and work independently under minimal supervision.

Proficient With:

  • Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Calendar and email management tools (e.g., Google Workspace, Microsoft Outlook)

Experience Advantage:

  • Experience working with Australian executives or companies.
  • Familiarity with coordinating across multiple time zones and regions.

Schedule:

  • Standard working hours: Monday to Friday, 7:00 AM to 4:00 PM Philippine Time
  • Flexibility to work overtime when required
